What this does
Finds a person from your desk phone’s directory — a colleague’s extension or a contact from your company’s shared phone book — and calls them from the entry, so you don’t need to know the number.
What you’ll need
- A desk phone on the supported list, set up by us (see Which phones work with Bluehubcloud PBX? and Connect your new Bluehubcloud handset). The shared company phone book reaches Yealink, Polycom, Cisco, Grandstream and Snom phones we’ve set up; on other brands the phone shows only its own local contacts.
- Your company phone book switched on for your Bluehubcloud PBX. If the directory on your phone is empty or only shows local contacts, it may not be turned on yet — contact us and we’ll set it up for you.
Steps
Finding someone in the directory:
- Press the Directory key (on some phones it’s Contacts, or Menu then Directory).
- Choose the company list — it’s usually named Remote Phone Book, Company Directory or LDAP, depending on the phone. Your own saved contacts sit in a separate Local list.
- Start typing the person’s name on the keypad. The list narrows as you type, or press Search and enter the first few letters.
- Scroll to the entry and press Send, Dial or Call. The phone dials the number stored against that entry.
Dialling a colleague by name from the phone menu:
- If your company’s phone menu has a directory option, ring the main number, choose it, and key in the first three letters of the person’s surname on the keypad (for example 764 for *SMI*th).
- The system reads back the matching name. Press 1 to be put through, or * to hear the next match.
Saving someone to your own list:
- From a directory entry or a call-history entry, choose Add to Local (or Save to Contacts). Local contacts live on that phone only — the company phone book is managed centrally and updates on every phone at once.
What you should see
The directory shows names, not numbers, and the company list includes your colleagues’ extensions as well as any shared contacts. When you dial from an entry, the screen shows the name while it rings.
Troubleshooting
- The directory is empty or only shows my own contacts. The company phone book isn’t switched on for your phone system, or your phone isn’t one of the brands that receives it. Contact us — we’ll turn it on or tell you what your phone supports.
- A colleague is missing from the list. Extensions can be included in the company phone book or left out; if yours only shows outside contacts, ask your administrator or contact us to include extensions.
- A number is out of date. The company phone book is maintained by your administrator — send them the correction. Your own Local contacts you can edit on the phone.
- I can’t find the Directory key. On some phones it’s a soft key under the screen labelled Dir or Contacts; on others it’s under Menu. If in doubt, contact us and tell us the phone model.
- Searching does nothing. Some phones search only after you press Search or OK rather than as you type. Enter the first few letters, then press the key.
