Privacy Policy

Bluehub Unified Communications Pty Ltd (ABN 99 650 651 335) is an Australian company based in Sydney. We provide the Bluehubcloud platform — cloud phone systems, call analytics and communications automation — to Australian businesses. This policy explains what personal information we collect, why, who we share it with, and how you can access it or complain.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We are a reseller of telecommunications services: we supply phone services over networks owned by licensed carriers, and we do not hold a carrier licence. That makes us a carriage service provider under the Telecommunications Act 1997, so we are also bound by Part 13 of that Act, which restricts how we may use or disclose information about your communications.

1. Who this policy covers

It covers everyone whose personal information we handle: visitors to our website, people who enquire about or buy our services, users of our customers’ phone systems, and people who call or message a business that uses our platform.

Our business customers control the personal information of their own staff and callers. When we store or process that information on their behalf — a call recording, a transcript, a voicemail — we do so under our agreement with the customer, and the customer is responsible for meeting its own privacy and recording-notification obligations to the people it deals with.

2. What we collect

From website visitors and enquirers: your name, business name, email address and phone number when you fill in a form, book a demo or request a quote; the pages you visit and how you got here, through cookies and analytics.

From customers: the details needed to set up and run your account — contact people, business address, ABN, billing details and payment method; the numbers, extensions and settings on your phone system; support requests and the messages between us.

From use of the platform: call records (the numbers involved, the time and length of each call), voicemail, SMS and MMS content sent or received through the platform, and where a customer has turned on call recording or call analytics, recordings and transcripts of calls and the summaries and categories generated from them. We also collect technical data such as device type, IP address and app version so the service works and stays secure.

We collect this information directly from you, from your employer if you use a phone system they buy from us, and automatically when you use our services or website. We do not collect government identifiers, and we do not collect sensitive information unless it is in a call recording or message that a customer has chosen to make.

You can browse our website without telling us who you are. If you choose not to give us information we ask for, we may not be able to respond to your enquiry or supply the service.

3. Why we collect it

  • To provide the services you or your employer have bought — connecting calls, delivering messages, generating reports and analytics.
  • To set up, bill and support your account, and to respond to your enquiries.
  • To keep the platform secure, prevent fraud and misuse, and protect the network.
  • To improve our services, including by analysing how they are used.
  • To send you information about our products, which you can opt out of at any time.
  • To meet our legal obligations, including record-keeping and disclosure duties that apply to telecommunications providers.

4. Who we share it with

We share personal information only where we need to in order to run the service or where the law requires it.

Service providers who help us deliver the platform: telecommunications carriers and number providers; the Australian cloud providers that host our systems (or, for a custom setup hosted outside Australia, the provider and location agreed with that customer); our customer relationship and email platforms; our SMS gateway; our payment processor; and the AI providers that transcribe and analyse calls for customers who use those features.

Regulators, law enforcement and courts where we are required to by law, including under telecommunications legislation.

A buyer or successor if our business is sold or restructured, subject to this policy.

We do not sell personal information.

5. Where your information is held

On our standard service, your voice and call data — recordings, voicemail and call records — is stored on our platform in Australian data centres and is not held offshore.

A business customer can ask us to host a custom setup outside Australia. Where they do, that customer’s platform, including its voice and call data, is held in the location agreed with them in writing before the service starts, and we take the same reasonable steps described below to protect it.

Where a customer turns on transcription, call analytics or the AI Call Assistant, audio and transcripts are processed by AI providers that may be located outside Australia, principally in the United States. Our customer relationship and email platform and our website analytics providers are also based there. Where that happens we take reasonable steps to ensure the provider handles your information consistently with the Australian Privacy Principles, including contractual protections.

6. How we protect it

Information is encrypted in transit and at rest. Access to customer data is limited to staff who need it to do their job, and is logged. Our standard systems run on cloud infrastructure in Australian data centres operated by our providers, with physical access controls, and are monitored and patched. We keep call recordings and transcripts for the period our customer has configured, and other personal information for as long as we need it to provide the service or as the law requires, after which it is deleted or de-identified.

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

7. Cookies and analytics

Our website uses cookies and analytics services, Google Analytics and Microsoft Clarity, to understand how it is used and to remember your preferences. Microsoft Clarity records how visitors move through our pages, such as clicks, scrolling and the parts of a page viewed, so we can improve the site; anything typed into a form is masked and not recorded. You can block or delete cookies in your browser; parts of the site may then work less well. We do not use cookies to identify you personally unless you have given us your details.

Our website links to other sites, including our booking and customer portals. Their privacy practices are their own; check their policies before giving them information.

8. Marketing

If you have enquired about or bought our services we may send you information about them by email or SMS. Every message tells you how to opt out, or you can contact us using the details below. We comply with the Spam Act 2003.

9. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, or ask us to correct it. Contact us using the details below. We will respond within 30 days. We may need to verify your identity first, and in limited cases the law allows us to refuse, in which case we will tell you why.

If your information is held on a phone system your employer buys from us, we may refer your request to them.

10. Complaints

If you think we have mishandled your personal information, contact us using the details below and tell us what happened. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au, 1300 363 992). For complaints about a telecommunications service, you can also contact the Telecommunications Industry Ombudsman (tio.com.au, 1800 062 058), of which we are a member.

11. Changes to this policy

We may update this policy from time to time. The current version is always at bluehubcloud.com.au/privacy-policy, with the date it was last updated at the top.
