What this does
Brings together everyone you might need to call in one place — colleagues on your phone system, a shared company-wide directory your admin maintains, your own private contacts, and (if connected) Outlook, Google, or CRM contacts — all searchable and callable from the same window.
What you’ll need
- Communicator open and signed in.
Steps
- Use the Quick List buttons to jump between views: Directory (everyone on your phone system), Contacts (everything saved or imported), Favorites (contacts you’ve starred), and History (your recent calls).
- Right-click any contact for quick actions: call their extension directly, or call via a specific mode (Softphone, Deskphone, Mobile App, or Mobile number), chat, send SMS, start a meeting, start a video call, get notified when they log in, ask for their attention, view their contact information, pick up a call they’re on, send an email, leave a voicemail without ringing them, monitor their calls, change how their name displays to you (alias), hide them from your list, or add them to Favorites.
- The Contacts tab opens to All Contacts by default. Use its dropdown to filter to a specific source instead — Outlook, Google, CRM, or the company-wide Central Phonebook your admin manages.
- To add or manage your own private contacts (visible only to you), click Edit personal phone book contacts next to the All Contacts view in the Contacts tab — this opens Online Self Care’s Personal Phone Book section, where you can add contacts one at a time (First Name, Last Name, Number, Email, Company) or upload/download a batch via CSV — a blank CSV template is also available to download.
- If you use Outlook, Google, or a connected CRM, use the Refresh button next to All Contacts to pull in any changes made on those platforms.
What you should see
Every contact source appears together and is searchable from the same place. Changes made in your personal Phone Book (via Online Self Care) sync back into Communicator once you close that window.
Troubleshooting
- A colleague isn’t showing up in your list. Check Hide offline users isn’t switched on under the Contacts menu — it hides anyone inactive for 8+ hours by default.
- Your Outlook/Google/CRM contacts look out of date. Use Refresh contacts to re-sync rather than waiting — it doesn’t happen continuously in the background.
- You added a personal contact but it’s not visible to a colleague. That’s expected — your personal Phone Book is private to you; only the Central Phone Book is shared, and only your admin can add to that (or contact us).
- You can’t tell which list a contact came from. Central Phone Book entries only appear under that specific dropdown selection in the Contacts tab — everything else (personal, synced, saved) shows under the general Contacts view.
