What this does
Communicator Meeting covers audio/video conferencing, screen-sharing, chat, and recording, either started instantly or scheduled ahead of time. Anyone can join a meeting they’re invited to — creating or scheduling one yourself needs a licensed seat. If this feature isn’t available on your Bluehubcloud PBX, contact us and we’ll set it up for you.
What you’ll need
- A meeting licence, if you’re the one starting or scheduling (not needed just to join).
- On macOS: camera, microphone, screen-recording, and accessibility permissions granted to Communicator under System Settings > Privacy & Security, if you plan to share video or your screen.
Steps
Start a meeting right now — any of these work:
- Click Meeting in the navigation bar, then Start — choose whether it’s Public (anyone with the number/link can join) or leave it private (invited people only), and optionally add participants by dragging them in from your contacts before you start.
- Or right-click a contact and choose Start meeting to begin instantly with just them.
- Or click Meeting from an open chat conversation to start (or schedule) with everyone already in that chat.
- Or click Meeting from an active call to bring that call into a full meeting.
Schedule one for later:
- Click Meeting > Schedule meeting and fill in Subject, Start date/time, Duration, Time Zone, Participants (from your contacts, or by email for people outside the system), and whether it’s Public or Recurring.
- Save — it’s added to your Scheduled meetings list, and Communicator reminds you a few minutes before it starts (configurable under Preferences > Meeting).
Join a meeting:
- Use the invite link you were sent, or open Meeting > Join by number and enter the meeting number the organiser gave you.
What you should see
Starting or joining opens the meeting window with audio/video, screen-share, chat, and a participants list. A scheduled meeting appears under the Scheduled tab until it starts, then moves to Previous once it ends; any recordings show up under the Recordings tab, searchable from the same Meeting List window.
Troubleshooting
- Camera, microphone, or screen-share doesn’t work (Mac only). Check System Settings > Privacy & Security — Communicator needs Camera, Microphone, Screen Recording, and Accessibility permissions granted individually. A red exclamation mark next to the relevant icon in the meeting window means a permission is still missing.
- You weren’t warned the meeting was about to end. A countdown notification appears automatically ten minutes before a meeting’s maximum duration is reached (based on your licence) — if you joined less than ten minutes before that point, you’ll get one immediately with the exact time left.
- You can’t create or schedule a meeting at all, only join one. Your account doesn’t have a meeting licence assigned — contact your admin.
- A recurring meeting needs to change. Edit it from the Scheduled list — recurring meetings can be adjusted the same way as a one-off.
