What this does

Lets you listen to your voicemail messages, record your greeting, and manage your mailbox by dialling in from your desk phone — no computer or app needed. If you use Communicator, you can also play and manage messages there without dialling in (see How do I check my voicemail in Communicator?).

Steps

Listening to your messages:

  1. Pick up the handset and dial *123.
  2. Enter your voicemail PIN when asked and follow the prompt. (Some systems are set up to skip the PIN when you dial from your own phone — if you go straight to your messages, that’s why.)
  3. You’ll hear how many new and old messages you have. Press 1 to listen to them — each message is announced with the time, date and the number it came from.
  4. Press # to hang up when you’re done, or * to hear the menu again.

Recording your greeting:

  1. Dial *123 and enter your PIN as above.
  2. Press 0 for mailbox options, then:
  • 1 to record your unavailable greeting — what callers hear when you don’t answer.
  • 2 to record your busy greeting — what callers hear when you’re already on a call.
  • 3 to record your name.
  1. Speak after the tone and follow the prompts to save it, or record it again.

Setting a temporary greeting (for leave or a day out of the office):

  1. Dial *123, enter your PIN, press 0, then 4 and record the greeting when prompted. While a temporary greeting is set, callers hear it instead of your usual one.
  2. To go back to your usual greeting: dial *123, enter your PIN, press 0, then 4, then 2 to erase the temporary greeting. Your usual greeting plays again straight away.

Changing your PIN by phone:

  1. Dial *123, enter your PIN, press 0, then 5, and follow the prompts.

Checking a different mailbox (for example a shared mailbox your team uses):

  1. Dial *124 instead, enter the mailbox number when asked, then that mailbox’s PIN.

What you should see

After your PIN is accepted you hear “You have x new messages” and the menu. A message plays with its time, date and caller number first. When a greeting is saved, the prompt confirms it and callers hear the new recording from the next call onwards.

Troubleshooting

  • It won’t accept my PIN. The PIN is the four-digit number on your extension, not your Communicator or Online Self Care password — those are different things. Check or reset it in Online Self Care under My Details (see How do I use the Online Self Care portal?), or ask your administrator.
  • I’ve forgotten my PIN and can’t get into Online Self Care. You can’t reset a PIN from the phone without knowing the current one, so contact us — we’ll set a new PIN on your extension and read it to you, and your phone system administrator can do the same. Once you have it, change it to one of your own by phone (step 10).
  • It says my voicemail is locked. Entering the wrong PIN several times in a row locks the mailbox until an administrator unlocks it. Contact your administrator, or contact us.
  • I dial *123 and nothing happens. Make sure you’re dialling from a desk phone registered to your extension. From another phone, use *124 and enter your extension number and PIN. If the code still doesn’t respond, your phone system may use a different code — contact us and we’ll confirm it.
  • Callers say my greeting is wrong or out of date. A temporary greeting is probably still set and overriding your usual one — remove it with step 9.
  • I’d rather manage messages on screen. Communicator lets you play, call back, download and delete messages without dialling in (see How do I check my voicemail in Communicator?), and you can get every new message e-mailed to you — ask your administrator, or contact us and we’ll set it up for you.
