What this does

Lets you play, call back, download, or delete voicemail messages directly inside Communicator, without dialling into a voicemail box from a phone.

What you’ll need

  • Communicator open and signed in.

Steps

  1. Click the Voicemail icon to open the Voicemail window.
  2. Switch between the New and Old tabs to see unheard messages versus ones you’ve already moved out of New.
  3. Select a message, then use the toolbar to:
  • Play it — a waveform appears while playing, and you can click along it to jump back or forward.
  • Call the person back directly.
  • Download it to save the audio file to your computer.
  • Move it to Old once you’ve dealt with it.
  • Delete it — this is permanent, so make sure you don’t need it first.

What you should see

Messages from other extensions on your system show the caller’s name and number; external calls show only the number. New messages stay under the New tab until you move them, and deleted messages can’t be recovered.

Troubleshooting

  • You deleted a message by mistake. Voicemail deletion is permanent — there’s no recovery step, so double-check before confirming next time.
  • A message shows a number but no name. Expected for calls from outside your phone system — internal calls show the caller’s extension name, external calls only ever show the number.
  • You want to keep a message somewhere outside Communicator. Use Download to save it as a file before it’s deleted or auto-archived.
