What this does

Lets you pass a caller to another extension or an outside number from your desk phone. You can transfer straight away (a blind transfer), or speak to the other person first and hand over once they’re ready (an attended transfer). You can also send a caller directly to a colleague’s voicemail. If you use Communicator, see How do I transfer a call in Communicator? for the on-screen way.

What you’ll need

Steps

Blind transfer — pass the call straight through, using the keypad:

  1. While you’re on the call, press # and then dial the extension number, for example # 2001.
  2. Hang up. The caller is now ringing the other extension. Outside numbers work the same way — press # then dial the full number.

Blind transfer — using the phone’s Transfer key:

  1. Press Transfer (on some phones it’s a soft key labelled Tran or Xfer).
  2. Dial the extension number and press Transfer again. The call leaves your phone.

Attended transfer — speak to the other person first:

  1. Press Transfer. The caller is put on hold and hears hold music.
  2. Dial the extension number and press Dial (or the green call key). You’re now talking to your colleague and can tell them who’s calling.
  3. When they’re ready, press Transfer again. The caller and your colleague are connected and you drop out.
  4. If your colleague can’t take it, press Cancel (or End) and you’re back with the caller.

Attended transfer — using the keypad:

  1. While on the call, dial *2 and then the extension number. The caller hears hold music while you talk to your colleague.
  2. To complete the transfer, hang up. To take the call back instead, dial *0.

Send a caller straight to someone’s voicemail:

  1. While on the call, dial *125 and then the extension number. The caller goes to that extension’s voicemail without ringing the phone.

What you should see

Your phone’s screen shows the call leaving (usually a brief “Transferred” or the line going idle). On an attended transfer, the screen shows the second call while you talk to your colleague, then both clear when you press Transfer the second time.

Troubleshooting

  • Pressing # does nothing. Dial the extension straight after the # without pausing. If the code still doesn’t respond, your phone system may use a different transfer code — contact us and we’ll confirm it.
  • The caller got dropped instead of transferred. On an attended transfer, hang up only after your colleague has answered. If you hang up while it’s still ringing, the transfer may not complete. Use the Transfer key method (steps 5 to 8) for a safer hand-over.
  • I transferred to the wrong extension. Ring the extension and ask them to transfer the call back to you, or use the attended method next time so you can check before handing over.
  • My phone has no Transfer key. Every supported handset has one, though the label varies (Transfer, Tran, Xfer, or an arrow icon). Use the keypad method (steps 1 to 2) in the meantime.
