What this does
Makes sure no call slips through: callers can leave a voicemail, you get an email for every missed call, and calls can be recorded. Voicemails and recordings can be emailed to you, kept online in the portal, or both.
What you’ll need
- A Smart Number Manager login (see What is Smart Number Manager and how do I sign in?).
- An existing service.
- The email address or addresses that should receive messages and alerts.
Steps
Voicemail
- Open your service and switch on Voicemail. On an advanced call flow, add a Voicemail node instead (see How do I build an advanced call flow?).
- Choose the greeting callers hear before leaving a message.
- To receive messages by email, switch on email delivery and enter an address. Select + ADD for more addresses.
- To keep messages in the portal, switch on online playback. Messages appear under Media, then Voicemails.
- Choose how long messages are kept, from 1 month to 7 years.
- Select Save Service.
Missed-call emails
- Open your service and switch on Missed Call Alert. On an advanced call flow, select the destination node and open its missed call settings.
- Enter one email address per field. Select + Add for each extra address.
- Select Save.
Each alert shows the caller’s number, the number they dialled, and the date and time. Alerts are sent for calls that rang out and for calls that found the line busy.
Call recording
- Open your service and switch on Call Recording. On an advanced call flow, select the Start node and use its recording tab.
- Choose which calls to record.
- Choose how you get them: kept online under Media for a period you choose (1 month to 7 years), emailed after each call, or both.
- Select Save Service.
Voicemail works on simple, smart routing, caller menu and advanced call flow services. Missed-call emails work on smart routing and advanced call flows. Recording works on smart routing, conference and advanced call flows.
What you should see
Leave a test voicemail and miss a test call: the voicemail arrives by email or under Media, and you get a missed-call email. Recorded calls appear under Media or in your inbox.
Troubleshooting
- Alerts or voicemails don’t arrive. Check your junk or spam folder. Make sure each email field holds only one address.
- Old voicemails or recordings have gone. They’re removed after the keep period you set. Choose a longer period for future messages.
- Recording isn’t happening. Check the recording switch is green on the service, and that it’s saved.
Before you record
Let callers know their call may be recorded, for example with a short message in your greeting (see How do I add a queue, greetings and whisper?).
