What this does
Sends calls from your number to a group of phones, in the order you choose. This is an Advanced service. It’s also where you switch on extras such as a queue, a greeting, whisper and missed-call emails.
What you’ll need
- A Smart Number Manager login (see What is Smart Number Manager and how do I sign in?).
- The phone numbers of everyone who should take calls.
Steps
- Sign in to Smart Number Manager and select Create New Service.
- Choose your account, select Advanced Service, then Confirm.
- Name the service, then attach your number under Assign Numbers.
- Under Configure Destinations, name the group and add each phone number that should ring.
- Choose a Call Type. This decides how calls move through the group:
- Call in list order: always tries the first phone, then the next, and so on. Drag the numbers to change the order.
- Call all at once: every phone rings together and the first to answer gets the call.
- Round Robin: spreads calls around. Each new call starts at the next phone along, so nobody gets them all.
- Ratio Plan: sends a set share of calls to each phone. For example, set 10 and that phone gets about one call in ten.
- Audio Playback: plays a recorded message instead of ringing a phone.
- Under Configure Extras, switch on any extras you want. Each one shows its settings when it turns green. - Select Save, check the summary, then select Confirm Service.
What you should see
The service shows as Active on the Services page. Test it by calling your number: the phones should ring in the way you chose.
Troubleshooting
- Only the first phone ever rings. With Call in list order, later phones only ring if earlier ones don’t answer. Use Call all at once or Round Robin to share the calls.
- An extra isn’t working. Open the service and check its switch is green and its settings are filled in, then save and confirm again.
- I want different phones after hours. Set your opening hours and an after-hours destination (see How do I set opening hours, after-hours and public holidays?).
