What this does

Gives you a dial-in number for meetings: everyone rings the same number, enters a PIN and joins the same call. This is a Conference service. Up to 40 people can join at once.

Steps

  1. Sign in, select Create New Service, choose your account, select Conference Service, then Confirm.
  2. Name the service and attach your number under Assign Numbers.
  3. In the conference settings, choose:
  • the welcome message callers hear
  • a male or female voice for the automatic prompts, such as “Please enter your PIN”
  • the waiting music played until the host arrives.
  1. Set up a conference group:
  • Conference ID: an optional extra code for getting into the group. Type your own or select Generate.
  • Record Name: asks each caller to say their name, then announces them as they join.
  • Max Callers: how many people can be on the call at once (up to 40).
  • Max Pin Attempts: how many wrong PINs before the call ends.
  • Host: choose Yes if the meeting should wait for a host. Everyone hears music until the host joins with their own host PIN.
  • PIN Nos: the PINs callers use. Type your own or select Generate.
  • Call Recording: switch on to record the meeting, then choose online playback, email or server delivery.
  1. To run more than one meeting room on the same number, select Add new conference group and repeat.
  2. Select Save Service, check the summary, then Confirm Service.

What you should see

The conference service shows as Active. Dial in, enter a PIN and you’re in the meeting, or hear music until the host joins.

Troubleshooting

  • Callers are cut off after entering a PIN. They’ve run out of attempts. Check the PIN you gave them, or raise Max Pin Attempts.
  • Everyone is stuck on music. The meeting is waiting for the host. Make sure the host dials in with the host PIN.
  • I can’t find a recording. Recordings with online playback are under Media (see How do I get voicemail, missed-call emails and call recordings?).
