What this does

Lets staff working from anywhere join and leave the group that answers your number, using the remote-worker app we provide. Calls go only to people who are logged in. Staff can set a weekly schedule for when they’re on, and see their own call statistics. Managers can log people in or out and see the whole team’s numbers.

What you’ll need

  • A Smart Number Manager login with access to Accounts (see What is Smart Number Manager and how do I sign in?).
  • Each staff member’s name, email address and the phone number their calls should ring.
  • The remote-worker app. We send the download link and sign-in details when we set it up.

Steps

Add each staff member

  1. Go to Accounts and open Users.
  2. For someone new, choose Add New User. For an existing user, use the edit icon next to their name.
  3. Fill in their first and last name, email, a password and the phone number their calls should ring, and tick the box that turns on the remote-worker app for them.
  4. Tick Administrator under it as well for managers who should be able to log others in and out and see everyone’s statistics. Leave it unticked for everyone else.
  5. Select Save.

Add them to your number’s group

  1. Open the service that answers your number from Services (or create an Advanced service, see How do I ring a group of phones from one number?).
  2. Under Configure Destinations, choose the staff members from the list. Their details fill in automatically.
  3. Select Save Service. The service must have your number attached for this to work.

Day to day

Staff use the remote-worker app to:

  • log in and out of taking calls
  • set a weekly schedule, with reminders to log in and out
  • see their call statistics by day or hour.

Managers can also log staff in or out and see statistics for the whole group.

What you should see

When a staff member logs in, calls to your number start reaching them. When they log out, calls stop.

Troubleshooting

  • A staff member isn’t in the destination list. Check the remote-worker box is ticked on their user, and that you saved it.
  • A logged-in staff member gets no calls. Check the service has your number attached and has been saved.
  • Schedules don’t match the team. Schedules belong to each person, not the group, so set them per staff member.
