What this does
Communicator for Teams brings your Bluehubcloud PBX calling, SMS, conferencing, call parking and voicemail directly into Microsoft Teams, through a desktop add-in — so you can handle a call without switching out of Teams into a separate app.
What you’ll need
- Microsoft Teams (desktop or web), with Communicator for Teams installed and enabled for your organisation — this is set up for you (see Does Bluehubcloud PBX sync with Microsoft Teams?/222); if you don’t have it yet, contact us.
- The Communicator for Teams desktop plugin installed alongside it — click the “Open desktop plugin” link inside the Teams add-in the first time you need to make a call, and it’ll prompt you to install it.
Steps
Getting started:
- Open Microsoft Teams and find the Communicator icon in the left-hand navigation (pin it for quicker access next time — right-click the icon and choose Pin).
- Log in with your Communicator/extension email and password.
- The home screen gives you quick access to Phone, SMS, Conference, Parked Calls, and Voicemail.
Making and receiving calls:
- Open the Phone tab to dial using the on-screen keypad, or drag a contact from your list into the dial area. An incoming call shows a toast in the corner — Answer, Reject, Forward, or (if you don’t respond within 32 seconds) it goes to your voicemail automatically.
- During a call you can mute, hold, transfer (with or without an announcement), start a conference by adding participants, park the call for someone else to pick up, or hang up.
- Switch a live call to another device (desk phone, mobile) mid-call using Switch Device — handy if you need to step away from your desk without dropping the call.
SMS, conferencing, parking, and voicemail:
- SMS works the same as in Communicator — start a new conversation, send text or attach a file (up to 500KB, ten files per message), and pick up conversations from any device since messages sync across all of them.
- Conference calls can be started on the fly (add participants to an existing call) or from a predefined conference room in the Conference tab.
- A parked call shows up under Parked Calls, filterable to just your own calls or everyone’s.
- Voicemail messages appear under the Voicemail tab, split into New and Old — play, call back, move, download, or delete from there.
What you should see
Your contact list shows the same presence status your colleagues see in Communicator elsewhere — online, on a call, busy, do not disturb, or away, alongside recent-activity detail for anyone currently offline. Calls and messages you handle through Communicator for Teams show up in the same call history and SMS history as your other Communicator apps.
Troubleshooting
- The add-in shows a pop-up saying calls aren’t available because your extension doesn’t have WebRTC turned on. This means your extension isn’t fully set up for the Teams add-in yet — contact us and we’ll enable it.
- The add-in logged me out and I stopped receiving calls. Check whether “Logout from plugin when Teams is closed” is turned on in Preferences — if it is, closing Teams logs the add-in out too, by design.
- I can’t hear the other person, or they can’t hear me. Check your microphone permissions for the add-in inside Teams’ own App permissions settings, and your selected audio device under Preferences > Audio.
- A colleague isn’t showing up in my contact list. They may have their visibility set to hidden by an admin, or their extension may be inactive — you can usually still call or message them even if they don’t appear in the list.
- I need to use this on my phone, not just my desktop. Communicator for Teams calling on mobile works together with Communicator GO — you’ll need to be logged into both with the same extension.
